When should I reserve a tent or place an order?

All rentals are on a first come first serve basis, so the sooner you can place your order, the better. Even if you do not know your exact guest count, it is best to reserve your tents or party rentals well in advance and then make adjustments later if necessary. A reservation is made and confirmed upon receipt of a deposit.

What if I need to change or cancel my order?

All additions, deletions or changes to your order must be made at least 48 hours prior to delivery. Additions to your order are subject to availability.

All cancellations are subject to a 50% cancellation charge.

What are your delivery hours?

Normal delivery hours are from 8am to 6pm every day of the week. After hour deliveries are available for an additional charge. Tents are typically set-up Wednesday, Thursday and Friday for weekend parties. Setup and take down times are subject to change if there is risk of inclement weather. Tents cannot be installed when there is risk of lightning.

What is your delivery charge?

Delivery charges are determined according to the location. Please see our Renting Policies & Guidelines page for more information.

Delivery is available in Kingston for all orders over $200. Delivery is available outside of Kingston for all orders over $400.

Customers can also come to our warehouse to pick up their rental items. Our staff will assist you in loading your items but the customer is responsible for protecting their vehicle and our equipment.

Do you set up the equipment?

Rise to the Occasion Tent and Party sets up and takes down all heavy equipment such as tents, dance floors, stages and lighting. Other items such as tables, chairs, linens and glassware are setup by the customer or caterer.

A site check will be required before setting up a tent even if we have installed a tent at your location before.

After my event is over, what should I do with my rented equipment to prepare it for return or pick up?

Tables must be folded and chairs must be stacked. All glassware, flatware or dinnerware must be placed in original containers. Linens must be folded.

How do I protect your equipment?

All equipment must be left indoors or under a tent to protect it from inclement weather conditions.

Am I responsible for missing or damaged equipment?

The customer is responsible for damaged or missing equipment and a replacement cost will be assessed.

Do I need any special permits for having a tent set up at my location?

Some tents will require a building permit. We can procure a permit on your behalf for a fee, or you can obtain the permit yourself. Pricing and requirements vary depending on municipality.

Questions About Tents

How do I know what size of tent to order?

Tent size is based on the approximate number of guests and the type of event. For example, a large wedding reception requiring a lot of tables and chairs would require a larger tent than a wedding ceremony that requires only seating. In general, it is always best to call or email us before booking your tent. Our knowledgeable staff can usually recommend at least two tent sizes that would work well for your event.

Are the tents white? Do they come with sidewalls? Do they have floors?

All of our tents are white vinyl and come with plain clip-on sidewalls. These sidewalls can be substituted for mesh or decorative window walls for a fee. See our Tent Rentals page for more details.

Can a tent be installed on pavement?

Yes, some tents can be installed on pavement. A tent installed on pavement would have to be anchored by weights or secured by drilling into the pavement. If drilling is necessary, we will patch up the holes in the pavement once the tent has been taken down.

If I order lights for my tent, who is responsible for installing them and what kind of electrical equipment do I need to operate them?

We install all globe chandelier and coach lights as well as nylon Chinese lanterns. To power them, the customer must run extension cords from the tent to their regular outdoor household outlet or a generator. No special amperage required. We do not install mini lights.

How many poles will my tent have? How tall is it? How high are the walls?

The dimensions and poles of the tent depend on what style and size of tent you order. Frame tents are available with either a Traditional angled roof or a single Peaked roof. These tents are supported by a metal frame and do not require any poles. High Peak Pole Tents (also called Century tents) can have one or more single peaks or double peaks. They are supported at various points by a number of poles. The larger the tent, the more poles it will require. High Peak Pole Tents are generally used for large scale events, and are therefore larger and taller than Traditional and Peaked Frame Tents.

Is there anything we can do to prevent insects from getting into the tent?

Mesh walls can be helpful for keeping bugs out of tents; these can be supplied for a fee. Also some pesticide companies will spray inside tents.

How many tables can I fit inside my tent?

This varies depending on the size of the tent as well as the size and shape of the tables. Round tables take up more space (approx. 10 square feet each) inside the tent. Our banquet (rectangular) tables are 30” wide and take up less space than a round table.
